  • Hours: Approximately 10-20 hours per week before workshops, and 14-hour days during each 3-day workshop

  • Pay: $4,000-$5,000 per workshop, depending on experience

  • Contract duration: 2 months initial duration, with possible renewal for a further 12 months

  • Location: Remote, with covered travel to the US and UK for workshops

  • Start date: September 1st, 2025

Global Challenges Project (GCP) is seeking an Events Associate to deliver programming at our workshops, assess and select applicants, and support attendees during the events. Our workshops are in-person weekend-long events on AI safety and biosecurity for university students.

As our Events Associate, you’ll play a key role in shaping the broader strategy of our workshops. Our next workshop is October 17-20 2025 in Boston, MA.


Responsibilities

Pre-workshop

  • Select attendees and manage applications

    • Track and manage the application pipeline (reading applications, conducting interviews, and making final selection decisions) to ensure a strong cohort. We expect to train you in our attendee selection process before gradually transitioning the full application review to you. [Est. 30 hours during the period 6-8 weeks before the workshop.]

    • Coordinate applicant communications, including sending acceptances, rejections, and waitlists. [Est. 4 hours during the period 2-6 weeks before the workshop.]

    • Manage the travel support budget, allocating funds to selected participants. [Est. 2 hours during the period 6-8 weeks before the workshop.]

  • Lead outreach and marketing to identify potential attendees

    • Coordinate targeted outreach to EA university groups and other relevant networks in order to reach high-potential students interested in AI safety and biosecurity. [Est. 3 hours during the period 8-10 weeks before the workshop.]

  • Oversee logistics

    • Maintain oversight of the pre-workshop timeline, flagging risks and ensuring all prep tasks are completed on time. [Est. 4 hours during the period 2-12 weeks before the workshop.]

    • Attend weekly 1:1s with the Director and team meetings to align on progress and troubleshoot open questions. [Est. 4 hours during the period 8 weeks before the workshop.]

On-site

  • Deliver and present sessions (50%)

    • Lead and support structured sessions and social activities to help participants clarify their career uncertainties, explore AI safety and biosecurity career paths, and build community. Our workshop schedule is here.

    • You’ll work together with our Director to decide which sessions to present — we expect you’d start by presenting the sessions marked “Activities” and “Key Sessions”, with the exception of the Opening Session. We’re open to adjusting this depending on your interests and experience — for example, if you’re excited to present one of the Field Overviews, we’re happy to explore that with you.

    • Present content in an engaging and thoughtful way, adapting session delivery as needed by working backward from each session’s intended outcome.

    • Maintain energy and presence throughout the workshop, staying actively engaged with participants and attuned to group dynamics.

  • Support, connect, and engage with participants (25%)

    • Identify valuable attendee and guest connections, and proactively coordinate 1:1s between participants and guest speakers.

    • Actively engage with attendees during the workshop to help attendees work through their uncertainties and bottlenecks, offering tailored suggestions and connections by surfacing relevant resources, framing next steps, and acting as a sounding board for questions about the field or their decision-making.

  • Contribute to operations (25%)

    • Continuously monitor the attendee experience, collecting feedback, identifying issues early, and making real-time improvements to ensure the event runs smoothly.

    • Contribute to setup, transitions, and wrap-up tasks to create a seamless event flow.

    • Staff are expected to be present at the workshop from 9:00 AM on Friday until 10:00 AM on Monday.

Qualifications

Prior experience with the tasks isn’t necessary — we’re looking for someone who can take ownership and grow into this role. We expect strong candidates to have:

  • Comfort thinking critically about participant fit, conducting interviews, and reasoning transparently when making decisions

  • Excitement to help participants think through uncertainties and help connect them to resources

  • Ability to learn and apply event coordination skills, including managing logistics and supporting in-person delivery

  • Willingness to travel and work on-site for multi-day events (~6 times per year)

  • Interest in AI safety or biosecurity, and motivation to put effective altruism principles into practice

Working conditions

  • The role is primarily remote, aside from attending workshops

  • The role requires in-person attendance at approximately six four-day workshops per year in the United States and the United Kingdom

  • During in-person events, the role may require light physical activity, such as carrying materials or setting up tables, typically lifting no more than 20 pounds

  • Workshops involve long days lasting from 8:00 AM to 10:00 PM

Application process

We will review candidates on a rolling basis. Select candidates will be asked to complete a work test, followed by an interview. We are keen for candidates to start on September 1st.

Our history

Since launching our workshop series in 2022, we’ve run 26 events across Berkeley, Boston, and Oxford, reaching over 750 attendees. These workshops help students clarify their values and uncertainties about whether and how to work on AI safety and biosecurity, explore concrete career paths, and identify actionable next steps. Our alumni have gone on to fellowships at PIBBSS, MATS, and the Horizon Institute for Public Service, and taken roles at organizations including the UK AI Security Institute, Open Philanthropy, and RAND.
